The short version:

  • We collect what we need to host you well, and nothing more.
  • We never sell your information, and we never see your card numbers (Stripe handles payments).
  • Marketing email is consent based, and every email has a working unsubscribe.
  • Want your details corrected or deleted? Email us and we will sort it.

Who we are

Unwind Escapes is a family run glamping retreat at 1577 Dooralong Road, Lemon Tree NSW 2259, on the Central Coast of New South Wales, operated by Unwind Escapes Pty Ltd (ABN 56 664 972 865). When this policy says "we", "us", or "our", it means Unwind Escapes Pty Ltd and the small team that runs it. Questions about anything here: [email protected].

What we collect, and why

Bookings and stays

When you book (through our booking site, Airbnb, or directly with us) we receive your name, contact details, party size, stay dates, and any requests you make, such as bringing a pet. We use this to manage your booking, prepare your stay, send check in details, and stay in touch about your visit.

Forms and inquiries

Our contact and inquiry forms (weddings, events, whole property bookings, general questions) collect your name, contact details, and whatever you tell us about your plans. We use this to reply and to prepare quotes. Inquiry details reach our team through automated workflows and may trigger an internal notification so we can respond quickly.

Guest waiver

Before certain activities we ask you to sign a digital waiver. It collects your name, contact details, stay date, and signature. We keep waivers as a record of consent for as long as the law and our insurer sensibly require.

Personal training sessions

Our personal training booking form asks about your fitness level, experience, and any injuries. We ask only so sessions can be planned safely, and sharing this is your choice. We treat it as sensitive information: it is used solely to run your sessions safely, it is never used for marketing, and we delete it when it is no longer needed.

Newsletter

If you subscribe (on the website or during a stay), we store your name and email so we can send you our monthly newsletter with guides and occasional offers. That is all the list is used for.

Chat and messages

Messages you send through our website chat or WhatsApp are used to answer your questions. Our chat may use AI assistants to help draft fast, accurate replies, with our team overseeing the conversations. Chat is not the place for sensitive details such as payment information, and we will never ask for card numbers there.

Shop purchases

When you buy from our shop (firewood, s'mores kits, merchandise and similar), we receive your order details and, for delivered items, a delivery address. Payments are processed by Stripe: your card details go directly to Stripe and never touch our systems.

Website analytics

Like most websites we use Google Analytics and the Meta Pixel to understand how people find and use the site, and to measure our advertising. These tools use cookies and collect information such as pages viewed, device type, and general location. See the cookies section below for your choices.

Security cameras at the property

For everyone's safety we operate security cameras in shared areas of the property: the parking area, the BBQ area, and the shared space in the clubhouse. There are no cameras in or near any accommodation, bathroom, or other private space. Footage is used only for safety and security, and it is accessible only to our team.

What we never do

Who helps us run things

Like every modern small business, we rely on trusted providers to operate. Depending on how you interact with us, your information may be handled by: Stripe (payments), Google (email, calendars, spreadsheets, analytics), Make (the automation platform that moves form submissions and booking details between our systems), Airbnb and Dtravel (bookings made through those platforms), Meta (advertising measurement), Hostinger and Cloudflare (website hosting and delivery), and Telegram (internal notifications to our own team only). Some of these providers process data outside Australia, mainly in the United States. We only use providers with serious security practices, and we share the minimum needed for them to do their job.

Email marketing, and how to leave

Our newsletter goes only to people who subscribed. Every email identifies us and includes an unsubscribe link. You can also unsubscribe any time at unwindescapes.com/unsubscribe or by emailing [email protected]. Unsubscribes are honored within 5 business days, as required by the Spam Act 2003 (Cth).

Cookies and your choices

You can control cookies in your browser settings, browse in private mode, or opt out of Google Analytics with Google's browser add on. Ad preferences for Meta can be managed in your Facebook or Instagram settings. Blocking cookies does not affect your ability to book or contact us.

Children

Our services are booked by adults. Children are welcome guests, and any information about a child (such as ages in a booking or a form completed for a family activity) must be provided by a parent or guardian. We do not knowingly collect information directly from children, and we do not market to them. If you believe a child has given us their details, contact us and we will delete them.

How we keep information safe, and for how long

Your information lives in access controlled business systems (with two factor authentication and token protected internal tools), not in public files. Only the small team who need it to host you can see it. We keep information for as long as we need it to run your bookings and meet Australian record keeping requirements (for example, tax records must be kept for set periods), then we delete it.

Your rights

You can ask us at any time to tell you what personal information we hold about you, correct it, or delete it (where we are not legally required to keep it). Email [email protected] and we will respond within a reasonable time, usually within a few days. If you are not satisfied with our response, you can complain to the Office of the Australian Information Commissioner at oaic.gov.au.

If something goes wrong

If a data breach ever occurs that is likely to cause you serious harm, we will notify you and the OAIC in line with the Notifiable Data Breaches scheme, tell you plainly what happened, and explain what we are doing about it.

Changes to this policy

If we change how we handle personal information, we will update this page and the date at the top. Significant changes will be mentioned in our newsletter.
